Job Summary:

The Office Assistant will play a key role in ensuring smooth office operations by handling phone communications, managing materials orders, maintaining our social media presence, and assisting with contract and proposal writing. This position requires a detail-oriented individual with excellent communication skills and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Phone & Office Support:

  • Answer and direct phone calls professionally, providing excellent customer service.
  • Respond to inquiries and relay messages to the appropriate team members.
  • Maintain organized office records and documentation.

Procurement & Materials Ordering:

  • Source, order, and track construction materials and supplies.
  • Maintain vendor relationships and negotiate pricing when necessary.
  • Ensure materials arrive on time for project deadlines.

Social Media Management:

  • Create and schedule engaging posts for company social media accounts (Facebook, Instagram, LinkedIn, etc.).
  • Share project updates, company news, and industry-related content.
  • Monitor engagement and respond to comments or messages as needed.

Contracts & Proposals:

  • Assist in drafting and editing contracts, proposals, and other business documents.
  • Ensure all contracts align with company policies and industry regulations.
  • Collaborate with project managers and clients to finalize agreements.

Qualifications & Skills:

  • Required: Strong written and verbal communication skills.
  • Experience in office administration, customer service, or a related field.
  • Familiarity with construction terminology is a plus.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Suite.
  • Experience with social media management tools is a plus.
  • Ability to multitask and work independently in a fast-paced environment.
  • Strong attention to detail and organizational skills.
